Insurance verification & follow-up

From the insurance card
to the answer your team needs.

Check eligibility. Clarify missing patient details. Follow up with the payer on the benefits that matter for the visit. Vocari’s insurance agent keeps each step, conversation and reviewed finding with the patient.

Follow-up happens when it is needed and approved by your team.

An insurance agent with a next step

Every response has a path forward.

Start with the eligibility check. When the answer is incomplete, Vocari keeps the question, the approved call and the reviewed finding in the same patient case.

Your front desk chooses the next action. Calls work from one patient’s information and your clinic’s identity.

Example workflow

Review the benefits and save the finding.

The response answers the questions your team needs for this visit. There is no reason to add a follow-up call.

Continue with the appointment and patient discussion.
  1. 01

Your team confirms the patient, policy, service and date.

  2. 02

The eligibility response is saved with the request.

  3. 03

Staff reviews reported coverage, benefits and limitations.

  4. 04

The finding stays in the patient chart for the next visit.

Two focused calling assistants

The right conversation for the missing answer.

A wrong card detail and a missing benefit need different conversations. Each assistant receives the approved questions for that patient, introduces the clinic and brings the findings back for review.

Patient clarification

“Let’s confirm the details on your card.”

Confirm a member ID, subscriber name, birth date or dependent relationship when your team asks for it. Review the proposed changes and apply supported corrections before checking again.

Payer benefit follow-up

“We’re calling on behalf of the clinic.”

Ask the insurer about the benefit questions still open for the planned service. Your team approves the contact and question list, then reviews the reported answers and anything the payer could not confirm.

A result your team can use

Read the benefits.
See the gaps.

Review coverage status, plan details, service benefits, copays, coinsurance, deductibles, limits, and payer messages when returned. Results are organized for staff, with additional response details kept alongside the summary.

A successful transaction may still leave a benefit unanswered. Name mismatches, missing details, and payer instructions remain visible so staff know what to review.

The finding stays saved in the patient chart. Open it again, compare check history, and see which policy details were used for each attempt.

How to read an eligibility result

The patient and policy

The right policy.
The right person.

Keep multiple policies for one patient, with subscriber and dependent details kept distinct. Search for the payer, enter the card information, and use the provider identity configured for the clinic.

Your team confirms the request before running a check. The response identifies which details need attention; it does not silently replace the patient’s information with a possible match.

Review and accept proposed corrections before checking again. Previous policy versions and results remain part of the case history.

A saved answer, with evidence

Keep the finding and its limits together.

See what the source reported, when it was checked, what remains unanswered, and the next action. A plain-language activity history connects the original request to each check, conversation, and accepted change.

Staff can add findings obtained outside the electronic check. Source details remain attached so a later reviewer can understand where the answer came from.

Coverage active.
Crown frequency needs follow-up.

The payer reports active dental coverage and the annual maximum. The replacement limit for the planned crown was not returned, so the coordinator has one focused question to resolve.

Before the patient arrives

The details behind a useful benefit discussion.

Keep the plan’s reported answers and limitations together. Available detail depends on the payer, plan and service being checked.
